1. Deposits ..... A deposit holds your space, your payment in full guarantees the prices of your trip.
The payment of a deposit guarantees only your reservation space. Payment in full is the only method* of guaranteeing the price of your ticket or tour. Reservations not paid in full are subject to airline or hotel price increases.
* Some tour companies
allow the purchase of cancellation insurance, paid along with your initial
deposit,
to price guarantee your reservation. This insurance must be paid
for with your initial trip deposit.
2. Special Reduced Airline & Hotel Fares ..... cancel or change penalties can apply.
You are traveling on special negotiated wholesale airline tickets that can only be used for round trip flights. Once flights have departed, no refund can be obtained for any unused portion of the air routing.
If your airline ticket shows a dollar figure in the pricing boxes, it is not a negotiated wholesale fare and is subject to the issuing airline's restrictions/refund procedures, and is not subject to these wholesale ticket rules.
If you purchased hotels or cars, you are using special negotiated wholesale prices.
If your hotel or car was booked direct (that means you put up an additional deposit or credit card guarantee direct with that vendor, and will pay upon use of services), your cancel or change penalties and charges are up to that hotel or car vendor, and are not subject to these wholesale ticket/voucher rules.
3. Payment schedules..... deposits and final payments need be timely made.
A $100.00 per person deposit is required* by each wholesale tour company whose services you are using. Final payment is due to Hawaiian Travel ®, Inc., at least thirty-five (35) days prior to your trip departure - unless otherwise specified. Cancellation waiver, if purchased, must be paid with the initial deposit.
Final payments not received by the due date are subject to a late payment fee of $25 per person in the booking, and are subject to full cancellation for past due status by the airline / tour company. Enforcement of this provision has historically been lax – but the airlines are getting significantly more stringent. Please do not subject yourself, or our staff, to this ‘difficult’ situation.
* Peak travel periods may require additional deposits and advanced payment schedules. Cancel waiver may not be available during certain holidays.
4. Cancel penalties..... there are charges for a full cancellation of booked and paid plans.
Because these tickets and reservations may be priced at discounted wholesale rates, they carry certain restrictions and penalties imposed by the airlines, hotels and/or tour company (s). There may be a situation when your trip requires the services of multiple tour companies, and in that case multiple penalties may apply. A full cancellation of any booking incurs a $75 processing charge per person in the booking, plus the following timed charges.
a. After deposit, and over thirty-five (35) days prior to departure and prior to airline tickets being issued *, a $50 to $100 per person penalty for all in booking. If airline tickets have already been issued, an additional charge by the airline will apply (normally $100 per ticket).
* The airline's consider E-ticketing as ‘ticketed’, and most airline tickets are E-ticketed upon customer's final payment to guarantee against airline price increases.
b. After final payment is posted by the tour company, and/or within 35 days of your departure date, an additional $100 per person penalty will apply. There additionally may be airline and hotel penalties – though hotels typically do not charge a cancel penalty unless altered within fourteen (14) days of arrival (except during holiday travel periods when penalties are assessed within 60 days of travel). Hotels normally charge a 1 to 2 night penalty per hotel in reservation.
c. No cancellations may be made for departure after your scheduled departure date and time - if you "no show" a flight or hotel - you are subject to full forfeiture of payment - no refunds.
5. Changes in your plans.....
Booking changes (which is defined as any change in your plans after any money is on the file, i.e., dates, itinerary, number of passengers, etc., to the initial itinerary booked) incur a change fee of $25 (per change) plus any vendor charges or price increases.
6. Cancellation waiver ..… sometimes referred to as ‘cancel insurance’.
Cancellation waivers are available with most bookings (except published airline fares, or direct hotel /car bookings) at a cost of $41 to $100 per person (price varies with tour company). This decision must be made and paid (some vendors) with initial deposit, and must be purchased by all in the party (no split insurance). This waiver premium will allow you to cancel (up until the last business day prior to your departure) with no additional charges - except the one time $75 per person cancel fee and the cost of the insurance. Some special fare airline tickets are not covered by this cancel waiver, in such case, airline penalties will also apply (normally $100 to $200 per person - each airline has its own set of rules).
PLEASE BE ADVISED that a cancellation of one class of airline service (or cancellation of a contracted rate for a hotel or car) to rebook at a special advertised rate is considered a cancel & rebook and is subject to the penalties mentioned above – even though the change process may end up with your having the same scheduled itinerary.
7. Airline "fare wars"..... advertised lower fares.
Most airline fare wars exclude flights to Hawaii - but when they do not, they are published fare tickets - subject to the issuing airline's own rules - that are ordinarily (1) instant purchase (all the money today - regardless of other deposits on wholesale tickets); (2) fully non-refundable; and (3) changeable with a $100 per ticket fee, plus any fare difference. Please contact your airline reservation department directly to amend your direct or non-revenue bookings.
Your special negotiated airfares are not re-issueable at the "fare war" rate, and will incur cancellation penalties if you cancel to purchase the "fare war" tickets. Cancellation and rebooking to a “fare war” ticket is considered a full cancellation of your initial reservation and subject to the penalties mentioned above. There is a $25 per person service fee charged for the issuance of published fare tickets. In most instances, the wholesale rate we have reserved for you is lower than the "fare war" price.
8. Travel documents..... e-tickets and voucherless travel.
Your HAWAIIAN TRAVEL ® itinerary will serve as your master reservation record. All pertinent trip data will be detailed on your printed copy. With the advent of the internet, oftentimes changes in unrelated direct bookings (which will comprise your trip) beyond your control may disrupt the flow of your vacation and cost you additional to correct the errors. The travel industry has moved to totally electronic data transfer for hotel, car & air confirmations. Hawaiian Travel will not make unrelated bookings that have no legal responsibility to advise down line of uncontrolled changes or cancellations - unless specifically directed by the customer. The normal circumstance that would precipitate this situation would be instant purchase non-refundable airline tickets. There are occasions where printed ticket stock or vouchers might be used. The issuance and delivery of customer paper receipts or documentation, over and above what is normal and ordinary for your particular trip will require the payment of a $25 document preparation charge.
9. En route changes.....
While on your trip, should you wish to make any changes in any of your air/hotel/car plans, you should call the tour company / airline that issued your airline tickets and request their assistance. Contact numbers and reservation codes are listed on your itinerary or included with any final documents (or airlines computer reservation record). Should you desire to change only your flight plans, after travel has commenced, you need to call the airline directly and identify yourself as a "en route passenger" requesting assistance with changes. Should the needed class of service be available, the change may be made (airline's discretion). Most airlines charge $100.00 per ticket to change your reservation, plus any fare difference in the class of service available. Many airlines will not allow you to confirm a new date, but will allow you to "stand-by" (i.e., if there are empty seats on the plane they will be made available to you), but they may still charge you the $100 per ticket change fee. If you change your routing after departure and that change affects hotels and cars you have booked down line, you are subject to any penalties that might be imposed by each individual hotel or car company. Though you may be booked on a package, a package is nothing more than a series of wholesale reservations.
10. Refunds.....
Refunds of unused services or refund of canceled packages will be issued through Hawaiian Travel. Refund timing is typically 6 - 8 weeks after the cancellation has been confirmed.
Returned items, or dishonored charges, will incur a $50 clerical processing fee, and will be prosecuted to the fullest extent of the law.
The above amounts and polices are effective as of the time your travel plans were initiated. The travel plans and documents were booked and prepared upon such terms and conditions, and such terms and conditions are subject to change without any notice to the customer.
Over and above this office's mandated restrictions and / or penalties, any airline or hotel imposed restrictions and / or penalties will be passed on to the customer - Hawaiian Travel acts only as an agent in the pass through of any imposed penalties to the ultimate consumer.
Please be advised that all passengers must check-in with a valid, government issued, picture identification (e.g. passport, drivers license, etc.), that must match the name as listed in your reservation. Security measures may require an alteration of procedures – contact your airline / airport for alterations in policy. Most airlines allow you to check-in on-line on their web site 24 hours prior to a flight and print your boarding passes.
